Introduction
As a Race Director, there are likely a hundred things on your mind, a hundred things to do, and a hundred people asking you questions. This short guide will offer some tips and best practices to help expedite the ChronoTrack Live On-Site Registration and Packet Pickup process.
On-Site Kiosk Setup
If On-Site Registration Kiosks are being used at your event, there are several things to bear in mind:
- Make sure to allow at least two feet of space between kiosks. Many athletes will have bags, jackets, or other people with them. This will give these athletes a bit of space to maneuver and allow your volunteers to assist in the registration process.
- It is best to set up Kiosks in a “Bank Line” format as opposed to a “Store Checkout” format, as shown below. This will increase traffic flow and reduce registration time.
- Keep in mind sun glare if setting up outside. If it is possible to have the kiosks fully in the shade, this is ideal.
- If you need to provide tables for the kiosks, counter height tables (32” tall) are ideal for setting up kiosks. Traditional tables mean everybody needs to hunch over or sit to read the screen and type.
- It is best to have registration/bib assignment stations separate from merchandise and packet pickup stations. This will increase traffic flow and reduce the time it takes for Athletes to complete the packet pickup process.
- To keep traffic moving and avoid incessant questions, use clearly-worded signs with directions and information to direct Athletes to the correct stations and lines.
Volunteer Management
- Getting pro-active volunteers who can help athletes with the registration form, troubleshoot any issues, and assign bibs is very important.
- The On-Site Registration form is designed to be intuitive to the point that Athletes can easily work the computer themselves. This is generally faster than having volunteers ask for the information and enter it into the computer.
- As the quickest and most intuitive setup, we recommend having at least 1 volunteer per 2 kiosk computers standing between the two computers ready to assist as Athletes come in.
- After seeing a few people register, volunteers can anticipate where people might slow down or have questions and be ready for those instances. (There is also an On-Site Guide for Volunteers HERE)
- If you are doing dynamic bib assignment, having one or two volunteers ready with the stacks of bibs will help to speed the process of bib assignment. We recommend that you coordinate with the Timer for final details on Bib assignment.
- If volunteers are assisting Athletes with entering information, make sure that the volunteers have the athlete read and personally click the Accept button to acknowledge the liability waiver.
